How to record a sale with its amount

Updated

In the lead panel, under Sales, click Record sale and enter the amount, currency and date. When you move the lead to a won stage, the sale dialog opens on its own. The sale counts toward the revenue, ROAS and CAC of the campaign that brought in the lead and, with conversions turned on, goes to Meta as a purchase.

Step by step

  1. Open the lead

From the conversation in the inbox (Lead details) or from the card in the Kanban.

  2. Record the sale

Move the lead to the won stage (the dialog opens on its own) or, under Sales, click Record sale.

  3. Fill it in

Amount (greater than zero), Currency (the organization’s currency is preselected) and Sale date (can’t be in the future). Managers also choose the Credited salesperson.

  4. Confirm

Click Record sale. A “Sold” notice appears with the amount.

From the Kanban or from the panel

There are two ways, and the result in the reports is the same:

  • Moving to the won stage (dragging in the Kanban or using the stage selector): the sale dialog opens. If you don’t know the amount yet, click Record later: the lead moves to the stage and the sale can be recorded afterwards.
  • With the Record sale button, in the panel’s Sales section: good for recording later or for a new purchase from an existing customer.

Who gets the credit

By default, the sale is credited to the lead’s source salesperson (The lead’s original salesperson in the dialog). Managers and owners can pick someone else under Credited salesperson (for example, when a coworker closed the sale instead of the owner). The per-salesperson reports use the credited salesperson.

More than one sale on the same lead

Yes, you can. Each sale is listed on the lead with amount, salesperson and date, and the panel shows the Total per currency. Sales in different currencies are never added together. In the Kanban, the card shows the total sold.

Does the sale go to Meta?

The dialog tells you: with conversion sending on, “The sale will be sent to the connected ad platforms”; with it off, the sale stays in reports only. The purchase (Purchase) goes out with the amount and currency when the sale is recorded while the lead is in a won stage that has the Purchase event. A sale recorded while the lead is outside the won stage (a repeat purchase, for example) counts toward revenue but doesn’t generate a Purchase. The Kanban card shows Sent to ads when it worked. Step by step in Send conversions to Meta.

Example

Example with fictional data. Example Co. sells a course for $997.00. The closer drags the lead to “Purchased”, enters 997.00, US dollar (USD), today’s date, and confirms. The sale counts toward the revenue of the “October launch” campaign: with $4,000.00 in spend and 12 identical sales that month, revenue is $11,964.00 and ROAS is 2.99.

Didn’t work? See…

  • “Enter an amount greater than zero” or “The date can’t be in the future”: fix the field shown.
  • You entered the wrong amount: sales can’t be edited. Cancel it and record it again (see Cancel a sale).
  • The sale doesn’t show up in Meta: see Sale not showing in Meta.
  • The revenue doesn’t show up in the campaign: the lead needs to have an ad source. See Which ad made the sale on WhatsApp.

Frequently asked questions

Can salespeople record sales?

Yes. The sale goes to the lead’s source salesperson; only managers and owners can choose to credit someone else.

Which ad does the sale count toward?

The lead’s source ad. If the lead came from a click-to-WhatsApp ad or a tracked link, the revenue shows up in its campaign, ad set and ad.

Can I record a sale in another currency?

You can choose any currency for the sale. Reports only add up the reporting currency you pick and show the others separately, with no conversion.
