FAQ
WhatsApp CRM for paid ads: what TraceClose does
TraceClose is a WhatsApp CRM built for businesses that advertise on Meta: your team works the same number from one inbox, leads enter the funnel already tagged with the ad they came from, sales are recorded with their amount and sent back to Meta, and the dashboard shows the ROAS and cost per sale of every campaign, ad set and ad.
The problem it solves
If you sell on WhatsApp with ads, you usually have two halves that don’t talk to each other: Ads Manager shows cost per conversation, and the sales team knows who bought. In between, the question that matters goes unanswered: which ad brought in the sales? Without that, the budget goes to the ad that generates the most conversations, which isn’t always the one that generates the most sales.
TraceClose brings both halves together. The conversation arrives with its source, the lead moves through the funnel, the sale is recorded with its amount, and the dashboard matches it all against your Meta spend.

What to look for in a WhatsApp CRM for paid ads
- A team inbox on a single number, with queues, internal notes, quick replies, files and audio. See working in the inbox.
- Automatic distribution of new leads (simple or weighted rotation) and an alert when a customer has been waiting longer than agreed. See lead rotation.
- A funnel with your business’s stages, with ready-made templates by segment and stages that move on their own (first response, meeting scheduled, meeting held). See funnel and stages.
- The ad behind every lead, not just “came from Instagram”: campaign, ad set and ad, through click-to-WhatsApp ads or the tracked link. See which ad made the sale.
- Sales with amounts recorded on the lead, with currency and date. See recording a sale.
- Sales sent back to Meta through the Conversions API, so the campaign learns from the people who buy. See sending conversions.
- ROAS and cost per sale by campaign, ad set and ad, with goals, a salesperson ranking and alerts. See ROAS and cost per sale.
How it works in practice, from ad to sale
- The customer clicks a click-to-WhatsApp ad (or a tracked link on your website) and sends a message.
- The conversation shows up in the inbox with “Conversation started from the ad”, and the lead is created as Paid traffic, with campaign, ad set and ad.
- The rotation hands the lead to a salesperson; they reply, and the lead moves to the next stage on its own.
- The salesperson schedules the meeting (or assessment, visit or call, depending on your segment) and marks it when it happens.
- When the customer closes, the salesperson moves the lead to the won stage and records the sale with its amount.
- TraceClose sends the purchase event with the amount to Meta and adds the revenue to that ad’s row.
Example with fictional numbers: Example Co. spent $3,000.00 on one ad set that generated 150 conversations and 6 sales ($9,000.00), and $3,000.00 on another with 250 conversations and 2 sales ($2,400.00). By cost per conversation, the second looked better ($12.00 versus $20.00). By TraceClose’s ROAS, the first returned 3.0 and the second 0.8.

What it doesn’t do yet
- Today TraceClose only reads ads from Meta (Facebook and Instagram). Google Ads is on the roadmap.
- The customer service channel is WhatsApp. Instagram Direct and other channels are on the roadmap.
- It doesn’t touch your campaigns: it only reads spend, delivery and structure.
- It doesn’t import your old WhatsApp history and doesn’t bring in group conversations.
- It doesn’t import or export the lead list; the CSV available is the campaign report.
Who it’s for
For anyone who sells on WhatsApp with ads and has more than one person handling conversations: clinics, aesthetics, info products sold 1:1 (X1), real estate, local services and agencies that need to prove results to their clients. Frequently asked questions
What is a WhatsApp CRM for paid ads?
It’s a CRM that lets a team handle WhatsApp together and links each conversation to the ad that brought it in, so you can measure sales and ROAS by campaign, not just cost per conversation.
Does TraceClose replace Ads Manager?
No. You still create and edit campaigns in Meta. TraceClose reads the spend and structure and combines them with your WhatsApp sales.
