Funnel and operations

Auto greeting and message signature

Updated

In Settings › Operations, Service card: turn on Send an auto greeting on first contact and write the Greeting text (use {vendedor} for the name of the person who will handle the lead). The Sign replies with the salesperson’s name option, on by default, puts the name of whoever replied in bold before each message.

Step by step

  1. Open Operations

Go to Settings › Operations, Service card.

  2. Turn on the greeting

Check Send an auto greeting on first contact and write the Greeting text. The Preview shows how it looks.

  3. Decide on the signature

Leave Sign replies with the salesperson’s name checked or uncheck it. The preview shows the message as it appears on WhatsApp.

  4. Save

    Click Save.

The auto greeting

The default text is “Hi! This is {vendedor}. I will get back to you shortly.”. {vendedor} becomes the first name of the salesperson who got the lead. The text takes up to 1,000 characters and is off by default.

The greeting is sent only when all of these are true:

  • It’s a new lead, reaching out for the first time.
  • The lead already has a salesperson (assigned by the rotation or by a link’s fixed salesperson).
  • The conversation isn’t outbound (it didn’t start from the company phone).
  • Nobody has messaged the customer yet.

That’s why a lead that landed in Unassigned gets no greeting. The greeting goes out without a signature, doesn’t count as a first response and doesn’t end the wait for the maximum time without a reply: the salesperson still needs to reply.

The signature

With the signature on, each message sent from the dashboard reaches the customer like this:

  • *Ana Souza:*
Hi! How are you? I’m sending you the proposal now.

On WhatsApp, the name shows in bold on the first line. It’s the person’s full name as registered in Settings › Team. Automatic messages (like the greeting) aren’t signed.

When to turn it off: if the team prefers that customers see the company as a single agent, or if messages are short and the signature feels heavy. When to keep it: with several salespeople on the same number, the signature avoids the “who am I talking to?” question.

Greeting examples

Fictional examples to adapt:

  • Clinic: “Hello! This is {vendedor} from Example Clinic. I’ll be with you in just a moment.”
  • Real estate: “Hi! I’m {vendedor}, an agent at Example Co. Which property are you interested in?”
  • Digital product: “Hi! This is {vendedor}. I see you came from the course ad. I’ll get back to you right away!”

Didn’t work? See…

  • “Write the greeting or turn off auto sending”: the greeting is on but the text is empty.
  • The greeting wasn’t sent: the lead was left unassigned, came from outbound or someone replied first. See Lead rotation.
  • The greeting wasn’t sent (or shows as Failed): the number may be disconnected. See WhatsApp disconnected.
  • You want ready-made messages to send manually: see Quick replies.

Frequently asked questions

Can I send an automatic message outside business hours?

There’s no time-based message. The auto greeting is sent on the lead’s first contact, at any time.

Does the signature use the full name?

Yes, the person’s name as registered on the team. The greeting uses only the first name.
